THE FIELD GUIDE

AI receptionists: compare the job they finish, not the voice they use.

Five different routes from an incoming call to a usable record. A practical comparison for service businesses, with a repeatable demo protocol.

The decision comes before the shortlist

Start by choosing the outcome you need when nobody can answer. A captured request leaves a callback. A calendar appointment reserves a time. A job in field-service software may carry service details and a team assignment. These outcomes should not share a single checkbox called ‘booking’. Our comparison treats them separately because each leaves a different amount of work for a person.

This is a desk-research comparison of official vendor materials, not a call-quality test. We have not measured accuracy, conversion, accents, uptime, or savings. The useful question at this stage is which integration route merits a demonstration against your actual rules.

What the official materials establish

Avoca describes home-service answering, job booking, a ServiceTitan integration, and contextual handoff to your CSR. Jobber documents Receptionist booking through configured Online Booking services and team availability, with escalation to a designated contact. These are different platform dependencies, not proof that either handles every dispatch rule.

Smith.ai describes AI answering and scheduling with a live-agent network. Goodcall describes Google Calendar or booking API routes and transfers to nominated people. Frontdesk’s article describes Google Calendar and Outlook sync. That article is weaker evidence for your present configuration than a working demonstration. None of these source descriptions establishes that a technician with the right skills will arrive.

Choose candidates by the connection you already maintain

If your team works in Jobber, begin by inspecting the native booking path before adding a second scheduling record. If it works in ServiceTitan, ask Avoca to demonstrate the exact job fields and permitted booking actions. If you rely on a simple calendar, compare the calendar-led candidates against an explicit definition of what a valid appointment contains. If supplied human backup is a requirement, distinguish a vendor’s agents from your own staff receiving a transfer.

These are screening questions, not endorsements. A smaller integration that reliably captures a request can be preferable to a broader promise that creates cleanup. List the extra work after each call: review, assignment, confirmation, correction, and callback. Compare that remaining work alongside the automated steps.

A demo that can expose the boundaries

  1. Prepare a fictional customer, one ordinary service, an out-of-area address, an unavailable slot, and a request that requires a human decision. Use no real customer information for the first demonstration.
  2. Ask the same requests of each candidate. Include a reschedule and a cancellation, not just a new booking.
  3. Inspect the destination record immediately. Check the original appointment after a reschedule, the service type, location, duration, notes, and any assigned person.
  4. Make the escalation contact unavailable. Observe the caller’s experience, the pending task, and who can find it later.
  5. Ask what happens when the connected scheduler is unavailable. A graceful message is different from a silently lost request.

Keep a small trial log

For each scenario, record the expected outcome, observed outcome, correction required, and reviewer. Mark ‘not observed’ where a demo skips a path. Do not turn missing evidence into a passing score. During a later authorized trial, count incomplete records and correction time as well as answered calls; any savings claim needs a baseline and a defined sample.

What remains unresolved

Local numbers, language handling, plan limits, integration permissions, escalation fees, and region-specific service availability must be confirmed for the chosen setup. Vendor materials can change. Ask for a current written description of the package you will actually use. Your team still owns service policy and decisions outside that package.
